Wedding Transportation Timeline: How to Plan Rides for Your Twin Cities Wedding

Transportation is one of those wedding details that's easy to leave until the end, and it's also one of the details that keeps the whole day on schedule. Here's a simple timeline for planning wedding transportation in the Twin Cities, from booking to the last ride home.

6 to 12 months out: decide what you need

Start with the basics: how many people need rides, and where everyone is going. Most couples plan transportation for the couple, the wedding party and close family. Some also arrange rides for guests between the hotel and the venue. Popular Saturdays in summer and fall book up early, so lock in your date once your venue is set.

3 to 6 months out: build the route

  • Getting ready. Where will each group get ready: a hotel, a home, the venue?

  • The ceremony. Who rides to the ceremony, and when do they need to arrive?

  • Photos. Are you stopping somewhere for photos between the ceremony and the reception?

  • The reception. How far is it from the ceremony, and does anyone need a ride in between?

  • The send-off. Will you leave in style at the end of the night, and where are you headed?

Write down every pickup address and approximate time. That list is all your transportation company needs to put together an accurate quote.

1 to 2 months out: confirm the details

Share your final timeline, addresses and passenger counts. Confirm the number of vehicles and the hours you've booked. If your photographer has a shot list that involves the vehicle, let your chauffeur know so the car is in the right place at the right time.

The week of the wedding: one last check

Send any last-minute changes, and give your chauffeur a point of contact for the day, ideally your planner, a coordinator or a trusted member of the wedding party. That way the couple never has to answer a call about logistics.

Wedding transportation tips

  • Build in buffer time. Add 10 to 15 minutes between stops. Photos, hugs and bouquet fixes always take longer than planned.

  • Book by the hour. An hourly booking keeps your chauffeur with you between the ceremony, photos and reception, so you're never waiting on a ride.

  • Plan for weather. In Minnesota, a backup plan for rain or snow is a must, especially for outdoor photos.

  • Think about the guests. If many guests are staying at one hotel, a shuttle between the hotel and the venue keeps everyone on time and off the road after the reception.
